Asian Society for Fertility Preservation's
The Asian Society of Fertility Preservation shall consist of the following categories of membership.
- Founding Members
- Active Members
- Associate Members
- Honorary Members
- Corporate members
The qualifications for such members are as follows:
(a) Founder Members- persons who initiated the society and are subscribers to the memorandum of association of the Society. The founding members shall also be active members upon payment of any required initiation fees and dues as provided herein.
(b) Active Members- Active members shall consist of physicians, scientists, nurses or other allied health professionals in the fields of fertility preservation, reproductive endocrinology, and oncology.
(c) Associate Members- Associate Members shall consist of researchers, fertility preservation societies or societies associated with the field of fertility preservation and clinicians in training in the fields of fertility preservation, reproductive endocrinology, and oncology.
(d) Honorary Members- Associate Members shall consist of researchers, fertility preservation societies or societies associated with the field of fertility preservation and clinicians in training in the fields of fertility preservation, reproductive endocrinology, and oncology.
(e) Corporate Membership- : Corporate membership will be open to those companies, firms or other organizations interested in the activities & objects of the Society.
Eligibility for Membership- The membership shall be open to physicians or scientists in the fields of fertility preservation, ART, Reproductive endocrinology, Oncology (surgical & medical), Paediatric oncology, Haematology, Urology, Andrology, Paediatrics, Genetics, Gynaecology, lawyers and psychologists holding a post-graduate degree or undergoing Post-Graduate Course in the above fields whether residing in India or abroad.

Countries Having Societies- Annual fees 100 $ to be paid by society. The members of these societies from time to time automatically become members of ASFP (Active or Associate ).
Countries that do not have any societies– Country representatives to put together a group of interested individuals and in time try to form a society. Amount to be paid by such groups will be at the discretion of the country representative currently however a lower limit to be kept at 50$.
(a) Individual membership- in the absence of a society or group individual membership will be kept at 10$ annually till a society or group is formed in that country.
(b) Corporate membership- Annual fee for corporate members to be kept at 2500$
Procedure for Admission- Any society or corporate desiring to become a member may apply to the secretary with their application. The Membership Form/ Application form can either be downloaded from the official website of the society or can be obtained by requesting the secretary via email or through registered post. Eligible societies/ groups or individuals (in countries where Fertility Preservation societies do not exist), approved by affirmative vote of a majority of the Executive committee, shall become members of the class so applied for.
Fees, Dues, and Assessments.
(a)No part of the membership fee shall be refunded to any party.
(b)Any dues and assessments paid to the society becomes the property of the society, and any severable or individual interest of any member in dues and assessments paid terminates on such payment.
TERMINATIONS OR CESSATION OF MEMBERSHIP:
The Executive Committee (EC) also known as Governing Council shall have the power to expel/ terminate an individual member or society, from the membership of the above society, on the following grounds.
(a) On death: on death of a member the membership automatically terminates from the date of the death.
(b) On written resignation – The membership of any society shall automatically terminate upon receipt of a written request for such termination, from the secretary or president of the society delivered to the president or secretary of ASFP by mail, or by courier service; but such notice/ request must reach at least one calendar month before the 31st December in each year. (or whatever date is settled for payment of annual fee). An individual wishing to terminate membership may write to his/her country representative.
(c) Two-thirds of the total number of members voting in person may, by resolution passed at an annual or an extraordinary general meeting expel any member who in their opinion is guilty of conduct contrary to the interests of the society or conduct of the member is unethical, unprofessional, results into moral turpitude, or the conduct is of criminal intent or the member has become physically or mentally incapable or incapable under the law as such to be a member of society. Any such member shall cease to be a member of the Society from the date of passing this resolution but may be proposed again for membership after the expiry of 12 calendar months from that date. The Society must notify the member by registered mail at least four weeks in advance of such contemplated action under this clause so that he may appear on his own behalf at the meeting of the council at which revocation of his membership is to be considered. At such meeting, he shall be given reasonable opportunity to defend the charges against him.
(d) The President in consultation with any two members of the Executive council may terminate the membership of a member who cannot be contacted for a period of six (6) months using the address, telephone number, email address or other contact information on record with the society. Each member shall be responsible for providing on a regular and timely basis to the society accurate and updated contact information for such member.
(e) An attempt to transfer the membership will lead to termination of membership automatically.
Any society/ group /individual, which ceases to be a member, shall nevertheless remain liable for and shall pay to ASFP all monies due till the date of termination.
Re-Admission- Filing a written request with the President or secretary, on such terms as the executive committee deems appropriate, may reinstate any society/group /individual that has resigned or has been suspended from membership. The reinstatement will be subject to a vote by the executive council. The reinstatement will require submission of fresh application and fees.
Membership Register- The Society shall maintain at all times a register/ database containing the names, addresses, telephone numbers and other contact information deemed necessary by the Executive Committee, of the members of the Society. Termination of the membership of any member shall be recorded together with the manner of termination and the date on which membership ceased. The membership list shall be kept at the society’s office and shall be available for inspection by any member of the Executive Committee during regular business hours with prior notice of at least 5 working days.
Membership Certificate- When a person is admitted as a member of the society and the parent society or country representative has paid the required fees, a Membership Certificate shall be issued in his/her name. Such certificates shall be signed by the President and the Secretary and are sealed with the seal of the society.
General Body :
(a) All member of the society shall constitute a General Body.
(b) The General Body shall elect the Executive Committee/ Governing Council.
(c) At every General Body Meeting the i) audited Accounts of the Financial year shall be placed for approval and adoption ii) Result of elections to EC will be declared when applicable.
(d) Meeting of the General Body shall take place at least once in a year at such time and place as may be determined by the EC. A 30 days prior notice regarding the date and place shall be required to be given in writing by the Governing council to all its members.
(e) The Quorum for the General Body meeting shall be 10% of the members of the society or 1/3 of the Executive Committee whichever is less.
(f) If there is no quorum the meeting shall be adjourned to meet again the same day at the same place after half an hour and then the persons present shall be treated as the quorum of the meeting.
(g) Urgent Meeting/Extra ordinary meeting: Urgent General Body Meeting may be called by 2 weeks short notice. Quorum for the same shall be 10% of the members of the society or 1/3 of the Executive Committee whichever is less. If there is no quorum the meeting shall be adjourned to meet again the same day at the same place after half an hour and then there would be no necessity of any quorum.
Executive Committee (EC) or governing council- The first EC of ASFP will be constituted by the founder members. EC will manage and govern the overall activities of Society
Founder members- constitute the country representatives who have founded the society and contributed an initial fee of 200$ towards the society.
Composition of EC- There will be following Office bearers and against each post. No member shall occupy more than one post.
